Approved minutes from August meeting
Asha said PTA is still looking for website person. Current website person is not able to continue. Would be great to have a website to communicate with parents.
Pawprints: Info needs to go into pawprints for general population and dates need be submitted. Secretary is responsible for submitting to info to pawprints.
New/Open board positions
Choir liaison
Bulletin board: Have a new person to do this
Band and Choir PTA liaison
Volunteer coordinator for all school concerts
Auction facilitator
(PTA does not have auction coordinator)
Need help with fitting uniforms all day next week. M-TH.
Budget
Balance sheet does not include approx. $400 in recent deposits. At least $200 in outstanding receipts. Roughly $21,500 balance.
Profit and loss
Changes board made at last meeting are incorporated.
Drawn down $40,000 to about $20,000 last year.
New expenses
Method books, reeds for free and reduced lunch students.
Recommendation to have each committee monitor their own individual budget so that there are limited surprises.
Director’s report
Kelly: Good start for the year. All classes played by Friday. Instruments were passed out. About 120 school instruments. Classes are roughly same number as last year but distributed differently. Large beginning band class. Smaller senior orchestra. For orchestra, senior orchestra is very small. 45 students in beginning strings. 35 students are in choir, about half than last year.
Committee updates
PTA: They are still filling positions and hoping to have an auction chair and PTA liaison
Bite of Washington is this Thursday. FOWM has several volunteers committed and could use more to pass out flyers and survey.
Photos
Laura has some photos to use but need to have permission. If there is a general permission we can use the photos for an all school event.
Grants
Beth and Kelly applied for a $3000 opportunity grant to PTA. Denied yesterday, but they would be willing to give half. PTA also has an artist in residence grant and they will try to get that.
Beth did a great job applying for a grant from D’Iaddario for Gypsy Jazz.!!
Beth Sanders, PTA grant committee, is trying to get money for string instruments.
Seattle Music Partners program may have instruments for kids who need one.
Grant Ideas
Minority Bar Associations, Urban League, NAACP, Real Estate agencies, private funding for music lessons, community groups, (Mt. Baker, Leschi, Beacon Hill). Or people could fund an instrument.
Amma is working on a grant from the Youth Violence Project.
Instrument Maintenance
Terry priced out numerous instruments and have had them fixed. Also, swapped out unneeded items for useful things. We have a credit at Trading Musicians over $900 to use for items that are hard to obtain.
After School programs
Plan is to pass out these at the Bite of Washington to see about interest in Junior Jazz, Mariachi Band, Banda, Steel Drum, and Drumline.
Clarified that scholarships for students for lessons are during class time, not after school.
Concert dates
Beginning, Intermediate, Choir and Junior: 12/10 and 6/10
Senior band/orchestra/Jazz concert will be at Garfield 12/16 and 6/17 (tent.)
Sound
We will pay for the senior winter concert. Plan is to find someone in the community to pay to record concerts. At Garfield, the sound is included in our fee.
Reverb Festival
October 3rd @5pm. Music festival in Ballard with different music styles. WMS was selected to be their non-profit beneficiaries. Jazz combo and string quartet. Nelda and Laura are coordinating volunteers to staff a table.
Hot Java/Cool Jazz
Event at the Paramount in Spring. Jazz combo plays in lobby.
Trophies
Lots of trophies are available. Should they be donated or what should happen with them.
Phone-a-thon
Discussion about this option and whether we should follow up with a phone call or reminder about the materials fee.
Matching funds
Cathy suggested that we include in our request for donation about employer matching funds.
Per Diem for Directors
FOWM has traditionally given $25 day per diem for directors for trips and festivals. Suggestion is to provide $100 per diem per day and $50 if they leave in the afternoon. This would be added to the cost to families for the trip, rather than coming from FOWM
budget. We tabled this discussion to obtain more information.
